Importing recordings, transcripts and notes

You can bring in a recording made elsewhere, a transcript you already have, or a finished note from another system. Each one becomes a session for that client and stays on this computer like everything else.

On the client's page, click Import next to the Sessions heading, then choose Recording, Transcript or Note. The menu is hidden while a client is archived.

Import a recording

For audio you recorded with another app or device. Accepts .m4a, .mp3 and .wav files. Video files don't work, so save the audio on its own first.

  1. Click Import › Recording and choose the file.

  2. Under Ready to import, set the session date and start time. The end time fills in from the audio length.

  3. Choose In person or Telehealth.

  4. Leave Transcribe and generate the note right after import ticked, or untick it to do that later.

  5. Click Import.

Imported recordings are transcribed from start to finish, so they take longer than a session you record live.

Import a transcript

For a session you already have as text. Accepts .txt, .md, .vtt, .srt and .rtf files.

  1. Click Import › Transcript and choose the file.

  2. The session appears dated today, as an in-person individual session, ready for Generate note.

  3. If the date, time or type is different, change it on the session's Details tab.

The text comes in as written. Timestamps and numbering in .vtt and .srt files are removed. Speaker names stay only where they're in the text, and you can fix them on the Transcript tab.

Import a note

For a finished note from another EHR or written by hand, so the client's history in Confidant is complete. Accepts .txt, .md, .rtf, .pdf and .xml (C-CDA) files. Scanned PDFs without selectable text don't work.

  1. Click Import › Note and choose the file.

  2. Confidant fills in the session date and time if it finds them in the document. Check them and change them if needed.

  3. Click Import.

The note is saved as a finalized session on that date. Confidant looks for section labels, so a SOAP, DAP, BIRP, GIRP, PIRP or SIRP note keeps its format. A note without labels goes into the Assessment section whole. Each section shows an Imported tag.

Imported notes are part of the client's record. The case overview uses them, and the AI reads the most recent one for continuity when it writes the next note.

Where imports show up

Imported sessions appear in the client's session list like any other, on the date you set. Imported recordings and transcripts follow your settings in Settings › Privacy › Data & retention, the same as sessions you record.
